Privacy at Zoowa

Privacy Policy

This policy explains how Zoowa handles personal information when you visit the Zoowa website, contact Zoowa, use its services, or connect business systems to an AI or MCP integration.

1. About this policy

Zoowa is a South African AI technology business providing AI visibility and presence management, MCP integrations, agent-readiness infrastructure, and agentic commerce services for businesses. This policy applies to people who visit Zoowa's website, enquire about or use its services, or communicate with Zoowa, including authorised users of customer organisations where relevant.

Personal information is handled in accordance with applicable South African privacy law, including the Protection of Personal Information Act 4 of 2013 (POPIA). The information processed and Zoowa's role may depend on the service and the arrangements with a customer.

2. Information collected

Depending on how you interact with Zoowa, information reasonably needed to provide and manage the website and services may be collected, including:

  • Contact details you submit, such as your name, work email address, telephone number or enquiry details.
  • Business information provided by a customer, such as company details, products, services, business processes, system settings and integration requirements.
  • Account and authentication information where an account or connected service requires it.
  • Technical information such as IP address, browser and device details, and service, diagnostic or security logs.
  • Information created through use of Zoowa's website, services or integrations, which may include submitted questions or instructions, configuration data, activity records, and integration inputs or outputs.
  • Messages and other communications sent to Zoowa, including responses.

Please do not send sensitive personal information unless it is needed for an agreed service and you are authorised to provide it.

3. How information is used

Information may be used to provide and operate Zoowa services; respond to enquiries; configure and manage AI, MCP, API and other integrations; monitor service performance and security; maintain, troubleshoot and improve Zoowa products; communicate with customers about services; detect abuse, fraud or security issues; and meet applicable legal obligations.

4. AI and MCP integrations

When providing AI integrations, MCP servers, APIs or agentic services, Zoowa may process business and technical information needed to configure and run the particular service. That information may include customer-approved system data, instructions, requests, and the resulting responses or action records.

Zoowa does not sell personal information. Where an integration requested or authorised by a customer requires it, information may be transmitted to a third-party AI platform or service provider. That provider processes information under its own terms and privacy practices; Zoowa does not claim that a third party is bound by or guarantees compliance with this policy.

Customers are responsible for ensuring they have the rights, permissions and any required notices or consents to provide information to Zoowa and to authorise the processing and transfers needed for their chosen integration. Zoowa will not intentionally use confidential customer information to train public AI models unless the customer expressly agrees otherwise.

For some customer services, Zoowa processes personal information on the customer's behalf and under the customer's instructions. In other situations Zoowa may determine its own purposes for processing. The applicable roles depend on the actual service and agreement.

5. Cookies and analytics

Zoowa may use necessary cookies and similar analytics or monitoring technologies to operate the website and services, keep them secure, understand performance, and make improvements. Cookie settings can be managed through a browser; blocking some cookies may affect site or service functions.

6. Third-party services

Zoowa may use trusted third-party providers for hosting, analytics, communications, cloud infrastructure, payment processing and AI integrations. These providers may process information to deliver their services to Zoowa or, where relevant, directly as part of an integration you or your organisation has authorised. Their processing is also subject to their own terms and privacy information.

7. Data retention

Information is retained only for as long as reasonably necessary for the purpose for which it was collected, to meet contractual requirements, for legitimate business purposes, and to comply with applicable legal obligations. Retention periods can differ depending on the information and service.

8. Data security

Zoowa uses reasonable technical and organisational safeguards intended to protect personal information against loss, unauthorised access, use, alteration or disclosure. No internet-based service or storage system can guarantee absolute security.

9. International transfers

Some service providers or infrastructure used by Zoowa may be located outside South Africa, so information may be processed in another country. Where personal information is transferred internationally, Zoowa will take reasonable steps to ensure that the transfer has an appropriate basis and safeguards under applicable law, including POPIA where it applies.

10. Your rights

Subject to applicable law, you may ask to access personal information Zoowa holds about you, request correction or deletion where applicable, object to certain processing, or withdraw consent where processing is based on your consent. A request or withdrawal does not affect processing already carried out lawfully, and some information may need to be retained where the law permits or requires it.

Contact Zoowa using the details below to make a request. A complaint may also be lodged with the South African Information Regulator.

11. Responsible party and contact

Zoowa is the responsible party for personal information it processes for its own purposes. Where Zoowa processes information on a customer's behalf, the customer's role and Zoowa's role depend on the service and applicable agreement.
